Eligibility

Interested applicants MUST have permanent status as an 1842 Management Assistant with the San Francisco Public Utilities Commission and seeking a reassignment. If you do not meet this criterion, please DO NOT APPLY for this position.

 

General Description:

Under the direction of the Communications Director, the Management Assistant performs professional level administrative duties in a variety of functional areas, such as: public records act/disclosure compliance, Citizen Advisory Committee staffing, office management and administration, budget development, personnel liaison/timekeeping, administration and fiscal reporting. Regularly deals with sensitive matters involving the public, media, the Commission and senior SFPUC management.

 

Examples of Essential and Important Duties:

1.       Monitors available budget and maximizes use of existing resources for the office and programs of the communications division;

2.       Recommends changes in/acquisition of equipment and materials, oversees purchasing, billing and office supply and equipment inventory control, coordinates or assist in coordinating work and/or planning functions with other divisions within the SFPUC;

3.       Act as liaison and promote good working relationships with other divisions within the SFPUC and with other city departments;

4.       Maintain positive working relationship with vendors, and members of the public;

5.       Manages office administration and support;

6.       Serves as Department personnel liaison for division; manages division timekeeping responsibilities.

7.       Assist in budget development and resource planning, and fiscal reporting, assess resource needs of the office, monitors expenditures and reconciles accounts, gathers information and writes reports related to budget, fiscal and resource issues.

8.       Lead administrator in responding to and ensuring SFPUC compliance with the Sunshine Ordinance and California Public Records Act requests.

9.       Assists in staffing and coordinating agendas, posting, recording and supporting the Citizens Advisory Committee and Subcommittees with the Director and other senior SFPUC staff.

10.   Performs related duties as assigned.

 

Knowledge, Skills and Abilities:

§         Knowledge of budget planning and development; financial/fiscal monitoring and reporting activities; the CCSF purchasing/FAMIS/ADPICS systems;

§         Ability to use computer applications, including e-mail, word processing, spreadsheets, databases and the internet to prepare correspondence, reports and other documentation, process information, maintain records, prepare clear, accurate and well-organized reports, speak clearly and concisely, prioritize and organize multiple tasks and assignments, coordinate work with other offices, ensure compliance with established policies and procedures.

§         Able to multi-task, demonstrated ability in time management, excellent written and verbal communication skills, sense of humor.

 

Experience and Training

Must be currently employed as a 1842 Management Assistant with Permanent status within the SFPUC. There are no exceptions to this requirement.

Disaster Service Workers

All City and County of San Francisco employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the City requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency.
